Booking Terms And Conditions

By booking a trek, tour, or expedition with us, you agree to abide by the following Terms & Conditions. These guidelines are designed to ensure the safety, comfort, and satisfaction of all our travelers while providing a clear understanding of responsibilities, policies, and expectations. Our goal is to make your journey in the Himalayas, whether a family adventure, high-altitude trek, or spiritual expedition, as smooth, enjoyable, and memorable as possible.

We carefully craft every trip to provide not just an adventure, but also a safe, well-organized, and culturally respectful experience. Following these Terms & Conditions helps us maintain high standards of service, protect all participants, and manage unforeseen situations effectively.

We encourage you to read this document thoroughly before confirming your booking. It covers important topics such as booking procedures, payment schedules, cancellations, travel documents, health and fitness requirements, insurance, safety guidelines, conduct, and dispute resolution. By understanding and agreeing to these terms, you can focus entirely on enjoying the journey and creating unforgettable memories in the Himalayas. Adventure Family Treks & Expedition is committed to providing reliable guidance, professional support, and authentic experiences at every stage of your journey—from planning and preparation to the moment you return home.

1. Booking & Confirmation

1.1. Bookings can be made online, via email, or through our authorized agents.
1.2. Your booking is confirmed only after receipt of the required deposit and written confirmation from Adventure Family Treks & Expedition.
1.3. Adventure Family Treks & Expedition reserves the right to refuse any booking without assigning a reason, including situations where the trek may not suit the traveler’s fitness level or age.
1.4. Special requests, such as dietary requirements or room preferences, will be accommodated wherever possible, but cannot be guaranteed.

2. Payment Terms

2.1. A minimum deposit of 30% of the total trip cost is required at the time of booking to secure your place.
2.2. The remaining balance must be paid at least 30 days before departure. For bookings made less than 30 days before departure, full payment is required at the time of booking.
2.3. Payments can be made via bank transfer, online payment gateways, or other methods approved by the company.
2.4. All payments must be in the currency specified in the booking invoice. Any bank charges or transaction fees are the responsibility of the traveler.

3. Cancellation & Refund Policy

3.1. All cancellations must be made in writing via email.
3.2. Refunds will be processed as follows:

  • More than 45 days before departure: Full refund minus an administrative fee of 5–10%
  • 30–45 days before departure: 50% refund of the total package cost
  • Less than 30 days: No refund
    3.3. Adventure Family Treks & Expedition reserves the right to cancel or reschedule trips due to weather, political instability, pandemics, or other unforeseen events. In such cases, travelers will be offered full refunds or alternative dates.
    3.4. If a traveler voluntarily leaves the trek or expedition for personal reasons, no refund will be given.

4. Itinerary & Route Changes

4.1. Trekking itineraries may be modified due to weather conditions, natural disasters, government regulations, landslides, or safety concerns.
4.2. Adventure Family Treks & Expedition strives to follow the published itinerary but cannot guarantee exact schedules or routes.
4.3. Any additional costs incurred due to itinerary changes, including transport, lodging, or meals, will be borne by the traveler unless caused directly by the company.

5. Health & Fitness

5.1. Trekkers must be physically and mentally fit to undertake high-altitude treks.
5.2. Participants must disclose any pre-existing medical conditions, allergies, or disabilities prior to booking.
5.3. Adventure Family Treks & Expedition reserves the right to refuse participation to travelers whose health may pose a risk to themselves or others.
5.4. High-altitude treks involve inherent risks, including altitude sickness, fatigue, and weather-related hazards. Travelers must follow guides’ instructions at all times.

6. Insurance

6.1. Comprehensive travel insurance is mandatory and must cover medical emergencies, evacuation, high-altitude trekking, and trip cancellation.
6.2. Adventure Family Treks & Expedition is not responsible for any costs arising from medical emergencies, accidents, or evacuation.
6.3. Travelers are responsible for purchasing insurance in time and carrying proof during the trek.

7. Responsibility & Liability

7.1. Adventure Family Treks & Expedition acts as a facilitator for trekking, tours, and expeditions and is not liable for personal injury, property loss, or death during the trip.
7.2. The company is not responsible for delays, cancellations, or losses due to events beyond its control, such as natural disasters, political unrest, strikes, pandemics, or transportation issues.
7.3. Travelers participate at their own risk, including in trekking, climbing, rafting, or other adventure activities.

8. Travel Documents & Permits

8.1. Travelers must have valid passports, visas, and any special permits required for trekking or expeditions.
8.2. Adventure Family Treks & Expedition assists in obtaining permits, but acceptance is not guaranteed. Travelers are responsible for complying with immigration and local regulations.
8.3. Any fines, penalties, or legal consequences arising from incomplete or invalid documentation are the traveler’s responsibility.

9. Safety & Conduct

9.1. Travelers must comply with the instructions of guides and staff at all times.
9.2. Respect for local communities, cultures, customs, and the environment is mandatory.
9.3. The company reserves the right to remove participants from the trek or expedition for unsafe, disruptive, or illegal behavior without refund.

10. Equipment & Gear

10.1. Travelers must carry recommended gear suitable for the trek or expedition, including clothing, footwear, sleeping bags, and personal equipment.
10.2. Adventure Family Treks & Expedition provides guidance on equipment but is not responsible for damage, loss, or theft of personal gear.

11. Photography & Media

11.1. Adventure Family Treks & Expedition may take photos or videos during trips for promotional purposes.
11.2. By participating, travelers consent to the use of such media for marketing or promotional activities.

12. Force Majeure

12.1. The company is not liable for events beyond its control, including natural disasters, extreme weather, pandemics, political unrest, or transportation disruptions.
12.2. In such events, the company will provide support to the best of its ability but cannot guarantee alternative arrangements.

13. Dispute Resolution

13.1. Any disputes should first be resolved amicably through discussion with company representatives.
13.2. If unresolved, disputes will fall under the jurisdiction of courts in Kathmandu, Nepal.

14. Acceptance of Terms

By booking with Adventure Family Treks & Expedition, you confirm that you have read, understood, and agreed to all the Terms & Conditions outlined above.
